  1. The FAMIS Update request ticket system automatically generates and sends an email to the appropriate request approver(s) depending on which member(s) are affected by the update.

    Click on the link in the Workflow Step Assignment section to begin the approval process.<\/li>\n<\/ol>\n\n\n\n

    1. If not already signed in, you will have to sign in to Single Sign On (SSO) to access the TeamDynamix ticketing system. Once signed in to SSO, you will be directed to the workflow step to approve the request.<\/li>\n\n\n\n
    2. To view the request ticket, click on the link under Service Request Details. If you don’t need to review the ticket, skip to Step 5.<\/li>\n<\/ol>\n\n\n\n

                  This guide provides the steps to calculate prompt pay interest and manually post the interest item(s) to FAMIS.<\/p>\n\n\n\n

                  The State of Texas prompt payment law requires vendors to be paid within 30 days of receiving the goods or services they provide. If payment is not received within this timeframe, an interest penalty (prompt pay interest) is imposed. The penalty amount is calculated daily until the vendor receives the payment.<\/p>\n\n\n\n

                  To comply with this legislation, FAMIS calculates and posts interest when warranted. For state accounts, FAMIS sends the request for payment to the state, which makes its own calculation and includes any interest in the payment to the vendor. FAMIS receives a file back from the State that is posted to update the FAMIS accounts with the applicable interest charges.<\/p>\n\n\n\n

                  When an interest item fails to post, corrections must be made to get the interest items posted. Once the problem has been fixed, the items will be posted during the next nightly batch process. Items can also be posted manually.<\/p>\n\n\n\n

                  <\/span>Calculating Prompt Pay Interest<\/span><\/h2>\n\n\n\n
                    \n
                  1. Access the voucher information on Screens 168 and 169.<\/li>\n<\/ol>\n\n\n\n

                    1. Calculate the prompt pay interest for each line item using the Prompt Payment Interest Calculator on the Comptroller’s website (https:\/\/fmx.cpa.texas.gov\/fm\/usas\/prompay\/ppicalc.php<\/a>).<\/li>\n<\/ol>\n\n\n\n

                      1. Navigate to Screen 115 (Pending State Interest (Create\/Modify).<\/li>\n\n\n\n
                      2. Input the first voucher number and press Enter.<\/li>\n\n\n\n
                      3. Press F11 to move to the Multi-Account Vouchering screen.<\/li>\n<\/ol>\n\n\n\n

                        1. Tab to the desired line and press F9 to add an interest line. <\/li>\n<\/ol>\n\n\n\n

                              Master Vendor entries are created on the master campus level and can be copied for use on a specific campus code. The vendor is then available on that campus code, but no changes may be made at that level. By creating a Master Vendor, any changes made to the entry are passed down to all campus codes that use the Master Vendor\u2019s Vendor ID. A limited number of users have access to change Master Vendors, so vendors are established in a more secure environment, ensuring that any changes are accurate and not fraudulent.<\/p>\n\n\n\n

                              Update access to Screen 203, 204 or 205 is required to copy a Master Vendor to a member campus.<\/p>\n\n\n\n

                              1. In Screen 401 (Master Vendor Add\/Modify) with the desired campus code, type the X vendor supplier number (if known) or search for a vendor name in the Vendor field.
                                Note:  Vendor supplier numbers begin with X01. X00 vendor supplier numbers are Buy A&M (BAM) vendors that are NOT in the Master Vendor Table.<\/li>\n\n\n\n

                                In November 2022, FAMIS moved to a new technology platform. New connection profiles for both FAMIS Production and FAMIS Training must be used. Once the FAMIS Production connection profile is created, it can be used to create a FAMIS Training profile. Users may need to work with their IT departments to open the outbound connection and set up a new profile.<\/p>\n\n\n\n

                                The current version of OpenText HostExplorer (version 15.0.5 or higher) must be installed before preparing a replatformed FAMIS connection profile. To check the installed version and, if necessary, install the latest version of OpenText HostExplorer, see Installing OpenText HostExplorer to Connect to FAMIS<\/a>.<\/p>\n\n\n\n

                                To create a FAMIS Training profile from a copy of the FAMIS Production profile:<\/p>\n\n\n\n

                                1. Open Connection Central.<\/li>\n\n\n\n
                                2. In the Connection Central window, right-click on the existing replatformed (Production) FAMIS connection profile icon and select Copy.

                                  The TMASS request form enables authorized requestors to submit changes to the department, subdepartment, custodian number, campus code, building and room number. Only authorized requestors may use this request form,<\/strong> and access is validated based on the user’s FAMIS security record.<\/p>\n\n\n\n

                                  <\/span>Updated Request Form Changes<\/span><\/h2>\n\n\n\n

                                  In November 2022, a new TMASS request form was released. Although similar to the previous version, the new request form has two distinct changes.<\/p>\n\n\n\n

                                  Access Based on User Security Record<\/h3>\n\n\n\n

                                  Access to use the TMASS request is now based on the user\u2019s security record in FAMIS. The user must have “Update to TMASS Entity” on their security profile. As with all other security changes, this is handled by the member FAMIS Security Administrator<\/a>. 
                                   
                                  To create TMASS requests for multiple members, the entity record must be updated for each member. If this access is needed, users should contact the FAMIS Security Administrator for their member.<\/p>\n\n\n\n

                                  NOTE: Accessing the TMASS request form goes through FAMIS Security; there may not be an immediate response from the server.<\/p>\n\n\n\n
