There was a problem with ED45&#8217;s being incorrectly generated in regards to setting the TRS Eligibility flag.\u00a0 \u00a0In Workday, when a person terms the TRS Rate is being set to zero, which cause TRS TEAM to incorrectly report a change in the TRS Eligibility flag.\u00a0 This has been fixed in time for the March 2021 reporting, TRS TEAM will now go back in time before the Term date was populated to determine the TRS Rate at this point.<\/p>\n<p>September 2020 Reporting &#8211; An RE<br \/>\nshould not report the amount of time worked or compensation paid to an employee based on the pay periods of the employer.<br \/>\n<strong>Time Worked<\/strong><br \/>\nThe hours and days reported on the monthly record should reflect the time worked by the employee between the first day and the<br \/>\nlast day of the calendar month, regardless of when the person will be paid for the time worked.<\/p>\n<p><strong>Pay Received<\/strong><br \/>\nThe compensation reported on the monthly record is based on what the employee received in pay between the first and last day of<br \/>\nthe calendar month. file first versus the RP25 Hours True Up File.\u00a0 \u00a0The RP25 Hours True Up now has New Employees that will need their ED20, ED40 Records processed by TRS prior to submitting a RP25 True Up record.<\/li>\n<li>RP25 Hours True up for New Employees.\u00a0 \u00a0There has been a long issue regarding New Employees and the way their hours were being reported.\u00a0 \u00a0If a new employee started in September and first got paid in October, this person would first get reported to TRS in October.\u00a0 TRS requires the hours worked to be reported in the month the hours are worked, in this case September.\u00a0 This issue has been fixed with the RP25 Hours True Up.\u00a0 The October RP25 True Up file will have new employees who\u00a0 worked in September but did not have their hours worked reported.<\/li>\n<li>RP25 Hours True up for those switching workstations.\u00a0 \u00a0This is true for any employee switching workstation but to better explain will discuss the switch between\u00a0 workstation &#8216;S&#8217; and workstation &#8216;B&#8217; TDEM Employees.\u00a0 \u00a0September Hours worked would have been applied to &#8216;S&#8217; which is incorrect.\u00a0 The October true up for September would produce a true up record for both &#8216;S&#8217; and &#8216;B&#8217;.\u00a0 \u00a0The &#8216;S&#8217; true up record would back out the Hours\/Days Worked applied.\u00a0 \u00a0Workstation &#8216;B&#8217; True Up record would then apply the Hours\/Days Worked to the correct workstation.<\/li>\n<li>Gross Salary was in error in situations where there was more than one TRS Deduction on a source line.\u00a0 \u00a0The Gross Salary was being accumulated for every TRS deduction on the source line.\u00a0 \u00a0This affected a small number of employees and has been fixed.<\/li>\n<li>Each month the TRS TEAM programs will go through a number of steps when a person does not have either a Temp TRS ID or a Permanent SSN.\u00a0 \u00a0If it determines it cannot find either of these identifications, the process formerly would replace the SSN with &#8216;XXXXXXXXX&#8217;.\u00a0 \u00a0 It was determined this caused issues, since the replacement value needs to be unique.\u00a0 \u00a0Effective with the October Transmission the replacement value for the SSN will now be the UIN for this situation.\u00a0 \u00a0If you upload the record to the TRS TEAM Portal, the record should error out, asking for either the Temp TRS ID or the Permanent SSN.<\/li>\n<li>Transitioning from .068 to .075 on the TRS Employer Percent had outlying issues for some parts.\u00a0 \u00a0Efforts have been made to make this transition work more smoothly in future years.<\/li>\n<li>ED45 Record Types.\u00a0 \u00a0In the August 2019 Transmission, we transitioned from using the &#8216;E&#8217; Adjustment Reason Code to using the &#8216;A&#8217; Adjustment Reason Code.\u00a0 \u00a0The &#8216;E&#8217; Adjustment Reason Code will do a full replacement of the Contract Record.\u00a0 \u00a0The &#8216;A&#8217; Adjustment Reason Code will allow you to keep the old contract in place and create a new contract during the Summer.\u00a0 \u00a0In conjunction with the\u00a0 &#8216;A&#8217; Adjustment Reason Code change it was necessary to change the start date.\u00a0 \u00a0The start date was previously populated with the beginning of the fiscal year or for new employees the hire date.\u00a0 \u00a0The start date is now populated with the previous month, this is in alignment with hours worked reporting.<\/li>\n<li>It was determined that the October Transmission should go back to using the &#8216;E&#8217; Adjustment Reason Code for this month.\u00a0 \u00a0 \u00a0The reason being is that in September ED40 Contract records got populated with the beginning and end of the Fiscal Year.\u00a0 \u00a0If a person was part time in August\u00a0 and got paid in September, the ED40 record for September would have reflected part time.\u00a0 \u00a0In October the person now reflects Full Time and gets populated with the previous month on the ED45 Record.\u00a0 \u00a0The previous month in this case is September, which is why it is necessary to send the &#8216;E&#8217; Adjustment reason code for this month.<\/li>\n<li>ED40 Record Types.\u00a0 The Health Science Center was receiving an error stating they could not have a date employed date that was less than the date they became a reporting entity or 07\/01\/2001.\u00a0 TRS TEAM now no longer allows a date employed date less than this date.\u00a0 \u00a0If you are experiencing a similar issue, please let us know.\u00a0 This is an issue that primary affects the September transmission when ED40&#8217;s are created.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Please submit your &#8216;ED&#8217; Employee is accurately enrolled in TRS and TRS is deducted appropriately.<\/li>\n<li>The TAMUS TRS-TEAM integration incorrectly reports these as RP25 adjustments to prior periods. This compensation is really \u201ccurrent\u201d activity since the TRS deductions coincide with actual gross payment compensation.\u00a0\u00a0 The fact the work was performed in a prior period does not mean it has to be reported as an RP25 adjustment.<\/li>\n<li>Note, this can include compensation adjustments for prior periods.<\/li>\n<\/ul>\n<p>TRS TEAM was changed Effective 06\/2019<\/p>\n<ul>\n<li>Change the TAMUS TRS team integration to report \u201cType B\u201d cases above as regular RP20 records. In order to accomplish this, a recent enhancement was put in to the system to change the way PI is calculated. For records reported for the current report month (RP20 and ER20), PI will continue to be assessed if the TEXNET deposit is submitted after the monthly due date.<\/p>\n<p>The updates to PI calculation are as follows and will go into effect after the maintenance release this Sunday, May 19, 2019:<\/p>\n<h2>Adjustments submitted on a regular monthly report (RP or ER report)<\/h2>\n<ul>\n<li>Prior month adjustment records (RP25) included on a regular month\u2019s RP report that are reporting additional salary and contributions will incur penalty interest on any member contributions based on the month the record is adjusting. This is not a change from the current process.<\/li>\n<li>Prior month adjustments records (RP25, ER25, ER27) included on a regular month\u2019s RP or ER report that are adjusting employer contributions will incur PI only if the TEXNET deposit for the report month is sent after the due date. Thus, if the TEXNET is sent by the due date for the report that the adjustment is submitted on, no PI will be charged.*\n<ul>\n<li>Example 1: In February, the employer reported salary as being paid out of local funds on the RP20. The employer later determined that the salary should be allocated to Federal Funds. An RP25 is submitted on the May RP report to report the Federal Fund Compensation, Federal Fund Contribution, and Federal TRS Care Contribution. The May TEXNET deposit was submitted by the June 6<sup>th<\/sup> deadline, thus no PI is charged.<\/li>\n<li>Example 2: a TRS retiree was left off the January report. The RE creates an ER25 and submits it on the April ER report. The April TEXNET for the ER report was submitted by the May 6<sup>th<\/sup> deadline, thus no PI is charged.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h2>Adjustments submitted on a separate adjustment report (RP Adjustment or ER Adjustment report)<\/h2>\n<ul>\n<li>Prior month adjustments included on a separate RP Adjustment report rather than on the regular monthly report will incur penalty interest on any member contributions based on the month the record is adjusting. The RE realizes they need to submit adjustments to May on an RP Adjustment report and completes this adjustment report by June 4<sup>th<\/sup>. various errors"},"content":{"rendered":"<p><strong>Error Message<\/strong><\/p>\n<p>Various Errors &#8211; including error codes 394, 427, and 511, and 483<\/p>\n<p><strong>TAMUS Notes<\/strong><\/p>\n<p>For the September 2017 reporting period, TAMUS began to report all compensation to TRS on the TRS TEAM files (only compensation to students was excluded).\u00a0 \u00a0Some of this compensation was not subject to TRS contributions\/deductions.\u00a0 Reporting this compensation to TRS created some errors in TRS TEAM.<\/p>\n<p><strong>Cause of error<\/strong><\/p>\n<p>TAMUS was reporting all compensation on the RP file sent to TRS<\/p>\n<p><strong>Workaround \/ Resolution<\/strong><\/p>\n<p>TAMUS has reviewed the rules on creditable compensation provided by TRS.\u00a0 The rules are outlined at:<\/p>\n<p style=\"padding-left: 30px\"><a href=\"https:\/\/www.trs.texas.gov\/Pages\/re_creditable_compensation.aspx\">https:\/\/www.trs.texas.gov\/Pages\/re_creditable_compensation.aspx<\/a><\/p>\n<p>TAMUS has reviewed the list of object codes used in the payroll system.\u00a0 If a compensation item appears on the payroll ledger (payroll history) with one of these object\u00a0codes, and there is no TRS deduction for that item on the payroll ledger, this compensation will NOT be reported on a RP20\u00a0record.<\/p>\n<p>With the implementation of Workday, the earning code table will be used to determine creditable compensation.<\/p>\n<p><strong>Action by TAMUS System Enterprise Applications<\/strong><\/p>\n<p>A software modification has been made and this change was put in place for the November 2017 reporting period.<\/p>\n<p><em>[last_modified_date format=&#8221;F j, Y h:i:s A&#8221;]<\/em><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Error Message Various Errors &#8211;
