How do I prevent the holiday(s) from paying in error?"},"content":{"rendered":"<p>An Employee who is on leave without pay for the entire workday immediately before and\/or after a scheduled holiday, depending how the scheduled holidays falls, is not eligible to be paid for the holiday. <strong>Workday does not make an automatic adjustment to the Employee&#8217;s pay.<\/strong> HR Professionals should educate managers in departments, colleges, or agencies they support to inform them immediately when unpaid time off or leave without pay is approved around holiday periods.<\/p>\n<p><strong>Monthly Paid<\/strong><\/p>\n<p>To ensure a monthly-paid employing does not receive holiday(s) pay in error, Unpaid Time Off should be entered for the holiday(s) in question. If the employee themselves does not submit Unpaid Time, their Manager or HR Contact has access to the Time Off business process. Please be aware of monthly payroll deadlines to ensure the update is included in the current monthly pay result.<\/p>\n<p><strong>Biweekly Paid<\/strong><\/p>\n<p>Holidays must be removed from the Timesheet.<\/p>\n<p>Follow these instructions:<\/p>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li>Open the timesheet; click on each Holiday date to enter.<\/li>\n<li>Choose Holiday Adjustment (for Timekeeper Use) as the Time Type.<\/li>\n<li>Enter negative hours (-8.00 for full-time; prorated amount for those between 50% -99%FTE).<\/li>\n<li>Conversely, if the holiday hours are missing from the timesheet, you would enter positive numbers to pay each holiday date (8.00 for full-time; prorated amount for those 50% to 99% FTE).<\/li>\n<li>Complete Comments section detailing the reason for the adjustment for audit purposes.<\/li>\n<li>Click OK to complete the adjustment; Submit and\/or approve the timesheet.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Please be aware of biweekly payroll deadlines to ensure the adjustment is included in the current biweekly pay results.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>An Employee who is on leave without pay for the entire workday immediately before and\/or after a scheduled holiday, depending how the scheduled holidays falls, is not eligible to be paid for the holiday. New grandchildren must have a current issue date entered to be eligible for benefits, then recertified each May 1<sup>st<\/sup>.\u00a0 This is a policy set by System Benefits Administration and is the same for all workstations.<\/p>\n<p>To certify a dependent, please use the Review and Certify Dependents job aid found on Workday Help.<\/p>\n<p><strong>Cause:<\/strong> The user may have missed one of the following<\/p>\n<ul>\n<li><strong>Did they add the Verification Status to the dependent?<\/strong> You can view the Dependent Verification Status by navigating to the Dependent Record. Verification Status is at the bottom under the Dependent Verification tab.<\/li>\n<li><strong>Does the Dependent Verification Status have a current issue and expiration date?<\/strong> If the Verification Status Date is before May 1<sup>st<\/sup>, or the Verification Status Expiration Date has passed, the Verification Status is no longer valid. In this case, the Benefit Partner will need to request new certification documentation, then update the Verification Status.<\/li>\n<li><strong>Is the Dependent Grandchild under age 26 or Disabled? <\/strong>Dependent Grandchildren are only eligible for benefits coverage if they are under the age of 26 or have been certified as Disabled. Dependent Age and Disability Status can be viewed on the dependent record.<\/li>\n<\/ul>\n<p><strong>Note: <\/strong>To view the Dependent Record, navigate to the Worker Profile and select Benefits on the left-hand side. The first step is to research the two events that combined. When two events combine, Workday includes all the benefit types from EITHER event and takes the EARLIEST effective date from either event (in other words, they try to be \u201cgenerous\u201d).<\/p>\n<p>First, look at the reference guide <a href=\"https:\/\/tamuserp2.wpengine.com\/workdayservices\/reference_guide\/benefit-events-and-explanations\/\"><strong>Benefit Events and Explanations<\/strong><\/a> to determine the behavior of each of the events. If they are the SAME, or if the end result of the change is acceptable, then you can leave the hybrid event as-is.<\/p>\n<p>If the hybrid event will result in the wrong effective date, you should CANCEL or RESCIND the hybrid event and trigger the two events separately on DIFFERENT DAYS.<\/p>\n<p>Some examples of events that are OKAY to leave as hybrid events:<\/p>\n<p>&emsp; Loss of Other Coverage &amp; Gain of other Coverage<\/p>\n<p>&emsp; Loss\/Gain of Other coverage &amp; Loss\/Gain of other coverage \u2013 coverage on event date (will take earlier date)<\/p>\n<p>&emsp; Marriage &amp; Marriage \u2013 Coverage on Event Date (will take earlier date)<\/p>\n<p>Some examples of hybrid events that are NOT OKAY:<\/p>\n<p>&emsp; TRS &amp; ORP<\/p>\n<p>&emsp; Hire &#8211; Benefits Effective First of Month Following 60 Days &amp; any other Hire benefit event<\/p>\n<p>&emsp; Job Change and any other benefit event<\/p>\n<p><strong>Cause<\/strong>: If two or more benefit events are triggered on the SAME DATE with coverages in common (ex.
